This position is located on the Peoria campus 170 miles southwest of Chicago. (On-Site Work - Not Remote).

Description:

Position Summary
Employees at this level are responsible for performing a variety of normal clerical duties in several patient-service areas of a clinic. They apply knowledge of policies and procedures used regarding patient insurance, billing and account maintenance and patient referrals. They function as an essential link between the clinic and various services and staff.

Duties & Responsibilities

  • Welcomes patients and visitors to the clinic by greeting them. Answers telephone calls and screens and routes accordingly. Schedules patient appointments in person and also via telephone in accordance with clinic guidelines; mails new information to patients containing directions, appointment confirmations, and required documents. Completes check-in and also discharge processes of patients, which includes preparation of required forms and completion of insurance information within the electronic medical record (EMR). Collects co-payments at time of service and produces daily receipt log and cash reconciliation document at end of each day; closes out cash drawer within the EMR daily. Manages and updates patient records into the EMR and assures accuracy of data entered for insurance/demographic information. Comforts patients and visitors within the waiting room by answering routine questions and maintains the reception/waiting room area. Manages email, postal mail and incoming faxes. Makes appointment reminder phone calls to patients. Manages specialty referrals and assists with prior authorizations.
  • Ensures availability of patient records by assisting in creation and maintenance of files and records for the clinic, which includes locating and monitoring medical charts and maintaining directory of medical records in storage. Verifies external referrals sent to the clinic and schedules new patient appointments in accordance with each division's guidelines. Schedules medical tests as needed per departmental guidelines. Provides input or suggestions regarding clinic procedures and workflow. Assists in the training of new staff.
  • Oversees the ordering of clerical supplies. Advises supervisor of safety concerns. Notifies supervisor of any concerns or issues (such as those regarding scheduling of patients and patient complaints).
  • Performs other duties as assigned.


  • Qualifications:

    Minimum Qualifications

    1. High school diploma or equivalent.
    2. Any one or any combination totaling one (1) year (12 months), from the categories below:
      1. Work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility.
      2. Work experience in a health care facility such as a doctor's, dentist's, or hospital's office; which involved record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.
      3. Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.
